Payment and Refund Policy
Scope of the Policy and the Products or Services It Covers
This Payment and Refund Policy applies to all transactions conducted through scooptraxfy for specialised courses in live production decks and control rooms. These include training on multi-camera switching, live broadcasting techniques, real-time video operation, and professional management of television and streaming productions. The policy covers both individual course enrolments and bundled training packages delivered digitally or through scheduled sessions based in the United Kingdom.
It governs payments made by customers located in the United Kingdom and explains the rights and obligations of both parties under applicable UK law. Services encompass online modules, live workshops, and certification programmes related to broadcast production environments.
Prices, Currencies, Taxes, and Any Additional Charges
All listed prices are in British Pounds Sterling (GBP) and include value added tax (VAT) at the prevailing UK rate unless otherwise stated. Additional charges may apply for optional extras such as extended access to course materials or personalised mentoring sessions. Customers will be informed of any such charges before completing a booking. Currency conversion fees are the responsibility of the customer if paying from outside the UK.
Prices are subject to change but will not affect confirmed bookings. Promotional discounts are applied at the time of purchase and cannot be combined with other offers unless explicitly allowed.
Accepted Payment Methods, Payment Authorisation, and Payment Security
scooptraxfy accepts major credit and debit cards, bank transfers, and approved digital wallets. All payments are processed through secure third-party gateways compliant with Payment Card Industry Data Security Standards. Authorisation occurs immediately upon submission, with funds held until the transaction is confirmed or declined.
Customers must ensure sufficient funds are available. scooptraxfy does not store card details and uses encryption for all transmissions. Suspected unauthorised activity will result in transaction suspension pending verification.
Order, Booking, or Service Confirmation and When a Contract Is Formed
A contract is formed when scooptraxfy sends a confirmation email following successful payment. This email details the course access, start dates, and terms. Until confirmation is received, no binding agreement exists. Bookings for live sessions are subject to availability and may be rescheduled with notice.
Digital course access is granted within one business day of confirmation. Customers should review all details in the confirmation to ensure accuracy.
Cancellation Rights and Applicable Cancellation Periods
Under the Consumer Contracts Regulations 2013, customers have a 14-day cooling-off period from the date of contract formation to cancel without reason. For digital content, cancellation rights end once download or access begins if the customer has consented to immediate performance. Live course sessions may be cancelled up to seven days before the scheduled start for a full refund, subject to the exclusions below.
Cancellations must be notified in writing via the contact form on the Contacts page.
Refund Eligibility, Exclusions, and Non-Refundable Items or Services
Refunds are available for cancellations within the cooling-off period or where services are not delivered as described. Non-refundable items include partially completed digital modules, promotional bundles, and customised training materials. No refunds apply after course completion or once live sessions have commenced.
Eligibility requires that the customer has not accessed substantial portions of the content. Exclusions also cover circumstances where the customer fails to meet technical requirements for participation.
The Step-by-Step Procedure and Information Required to Request a Refund
To request a refund, contact scooptraxfy using the form on the Contacts page or email [email protected]. Provide the order reference, reason for the request, and any supporting evidence such as confirmation details. Requests should be submitted within the relevant time limits.
Include full name, contact telephone number 0191 694 1001, and address Wansbeck Workspace, Rotary Parkway, Ashington, Northumberland, NE63 8QZ for verification. Incomplete requests will be returned for additional information.
Inspection, Approval, Rejection, and Notification of the Refund Decision
Refund requests are reviewed within ten business days. scooptraxfy will inspect the account activity to confirm eligibility. Customers receive written notification of approval or rejection, including reasons for any refusal. Approved refunds proceed to processing; rejected requests may be appealed with further details.
Decisions are final unless new information is provided within seven days of notification.
Refund Method, Processing Time, and When Funds Should Reach the Customer
Refunds are issued to the original payment method. Processing takes up to fourteen business days after approval, though bank transfer times may vary. Customers will be notified once the refund has been initiated. For card payments, funds typically appear within five to ten working days depending on the issuer.
Special Rules for Digital Content, Subscriptions, Services, or Promotional Offers Where Relevant
Digital courses are treated as digital content under UK law. Access begins immediately upon confirmation, limiting cancellation rights where consent has been given. Subscription-style access to ongoing modules follows the same 14-day rule but excludes refunds for periods already used. Promotional offers are non-refundable once redeemed.
Failed Payments, Duplicate Charges, Chargebacks, and Suspected Fraud
Failed payments result in automatic cancellation of the booking. Duplicate charges are investigated and refunded upon verification. Chargebacks are treated as disputes and may lead to account suspension. Suspected fraud triggers immediate hold on services and reporting to relevant authorities.
Customers must report suspected issues promptly to [email protected] or via the Contacts page.
Mandatory Consumer Rights in the Target Country That the Policy Cannot Exclude
This policy does not affect statutory rights under the Consumer Rights Act 2015, UK GDPR, Data Protection Act 2018, and Payment Services Regulations. Customers retain rights to services of satisfactory quality and remedies for breaches. Nothing in this policy limits liability for negligence or fraud.
